1. What we collect
Through the Avatar Vouching Agentic AI service we collect: accounting company name, customer company name, contact email address, and the ledger files, output-format samples, shared-folder links and notes you choose to submit.
2. Why we collect it
Solely to verify your email, receive your files, provide the AI-assisted vouching support you requested, and contact you about it. We do not sell, rent or use your data for advertising, and your data is not used to train AI models.
3. Where it is stored and who can access it
Submitted files and details are stored in AVAG.AI's private Google Drive account. Confirmation emails are sent via Google's Gmail service. Internal access is limited to authorised AVAG.AI personnel and the automated systems that process your request.
Access to output files: your results (Google Doc and Google Sheet) are shared only with the contact email address you verified, with view and download access but no online editing. General link access is restricted, so a forwarded link will not open for anyone else. Your input files are not shared back with anyone.
4. AI processing
To produce your results, the contents of your submitted files are processed by the following AI service providers through their business API services:
- OpenAI (ChatGPT models)
- Google (Gemini models)
- Anthropic (Claude models)
Under their API terms, these providers do not use submitted data to train their models. All three providers maintain a presence in Singapore. Where your data is processed outside Singapore, we rely on the providers' contractual commitments to protect it to a standard comparable to the PDPA, in line with the PDPA's Transfer Limitation Obligation. By submitting files you consent to this processing.
5. Google account needed to open results
Results are delivered through Google Drive. The contact email you enter must be linked to a Google account to open them. If your organisation uses Google Workspace, your office email already works. If it uses Microsoft 365 or another provider, you can link a free Google account to your existing office email (no Gmail address needed) at accounts.google.com/signup by choosing "Use my current email address instead". Access is granted only to the exact email you verified; forwarding the results email to another address will not grant access.
6. Google user data
This application uses Google APIs only on AVAG.AI's own Google account, to store submitted files in Google Drive, share your results with your verified email, and send email via Gmail. It does not access the Google accounts of visitors. If you share a Google Drive link with us, we only copy the files you have shared. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
7. Retention
Data is kept for the duration of your request and any period required by law or professional standards, then deleted. You may request earlier deletion at any time.
8. Your rights
Under Singapore's Personal Data Protection Act 2012 (PDPA) you may request access to, correction of, or deletion of your personal data, or withdraw consent.
9. Security
Data is transmitted over HTTPS and stored in access-controlled Google infrastructure. Email verification codes expire after 10 minutes.
